This Privacy Policy regulates the processing of your personal data by VZW United Brands Association, established at Esplanade 1 box 8, 1020 Brussels and recorded in the Crossroads Bank for Enterprises under the number 0407.722.078 (hereafter referred to as “UBA”). 

Read this Privacy Policy attentively. It contains essential information on how we process your personal data and which cookies we use. By sharing your personal data on our website www.ubabelgium.be, by contacting us via e-mail/ telephone or by submitting a question/complaint, you declare that you have taken knowledge of this Privacy Policy and that you expressly accept the contents thereof.

What data about you do we process?

Within the framework of its activities, UBA processes the following personal data from you:

  • Registration data (members and non-members): When you register on our website, we collect your last name and first name, possibly the name of your company and VAT number, address details, e-mail address, telephone number, LinkedIn URL, payment data, position, language, and all other data that you share with us voluntarily;
  • Contact details (members and non-members): when registering on our website, via one of the contact forms or when you call or e-mail us, we process your last name and first name, possibly the name of your company and VAT number, address details, position, your e-mail, telephone number, language and any other data that you yourself disclose to us;
  • Job application data: when you apply for a job with us, we can collect your last name, first name, e-mail address, telephone number, CV, cover letter, sex, photo and any other data that you share with us voluntarily;
  • Data for the newsletter: when you register for our newsletter, we process your e-mail address, first name, last name and company name;
  • Cookies: whenever you visit our website, we can collect, on the basis of cookies and similar technologies, a range of personal data about you, in particular your IP address, language, surfing behaviour, origin and search terms. You will find more information about how we use cookies below in the ´Cookies´ section.

What do we use your personal data for?

We use your personal data exclusively for:

  • Member data: the invoicing, with as legal basis the execution of the agreement or our legal, accounting obligations;
  • Contact information: to be able to answer the question that you posed, with as legal basis the performance of a service that you requested;
  • Contact details, Member data and Data for the newsletter: direct marketing, newsletters, invitations, actions and promotions by UBA itself, with as legal basis our legitimate interest with regard to existing members, or your prior explicit consent if you are not yet a member of UBA. You can indicate at any time that you no longer wish to receive our newsletters via the opt-out possibility in our newsletters, or by contacting us directly by e-mail or phone;
  • Job application data: in order to be able to deal with your job application, with as legal basis our legitimate interest in the application itself and your prior explicit consent for building up a recruitment reserve;
  • Cookies: in order to maintain and improve our website and in order to incorporate personal data into anonymous statistics, with as legal basis your prior explicit consent upon your first visit to our website.

Who receives your personal data?

We do not transfer your personal data to third parties for commercial reasons, unless with your prior consent.

If necessary for the internal reorganisation or transfer of activities, we may pass on your data to new entities within the UBA group or to third parties who might assure the continuity of our services. In that case, we shall inform you in advance in so far as possible, but you should understand that this is not always technically or commercially feasible.

UBA can appoint external service providers in order to perform specific services. These service providers will perform data processing operations on our behalf and under our order (in the capacity of processor).

UBA will select processors carefully in accordance with the applicable law on data protection. In addition, UBA will ensure that the processing operations are conducted in accordance with the provisions of any written contract and with legal regulations in the field of data processing.

We share your data for the following reasons:

  • With CheckpointA for registering members for events;
  • With Procurios for participating in online events;
  • With Office 365, Facebook, Instagram and LinkedIn for possible event photos;
  • With Vimeo for watching video training courses;
  • With Google Analytics tools online and for usage analysis;
  • With Piwik PRO Core tool for user analysis;
  • With a view to account verification;
  • Within the framework of services to members and dealing with questions; for organisation and events we share this with our partners, who you can in any case request from us via e-mail; and
  • Within the framework of trust in and the security of our services (for example, prevention of fraud).

Under certain circumstances, the processors that we appointed have access to your personal data, but exclusively for the purpose of the requested data processing.

In rare cases we can be obliged to disclose personal data on the basis of a court order or in order to comply with other imperative laws or regulations. To the best of our ability we shall try to inform you in advance, unless that is not possible for legal reasons.

We always try to make maximum use of European suppliers, but if we must call upon non-European third parties, we make sure that your data is just as secure outside of Europe as it is here in Europe. For example, where necessary we conclude Standard Contractual Clauses with these partners and we secure additional guarantees.

How long do we retain your personal data?

We keep your personal data for as long as necessary, as a function of the purposes of the processing, as explained below in greater detail.

  • Member data: we retain your member data for a maximum of 6 years after the end of the collaboration. For legal reasons we must keep your invoicing data for 10 years as of the calendar year following the invoice date;
  • Contact information: the data that you pass on when registering on our website, via one of the contact forms or when you call or e-mail us, are kept for at most 6 months after the last contact;
  • Job application data: we retain your job application data for as long as the application procedure is running and up to a maximum of 1 year afterwards, if you gave your consent for this;
  • Cookies: you will find the retention periods for personal data that are collected by cookies below in the ´Cookies´ section.

For the sake of judicial proceedings, however, we can retain your personal data for a longer period.

Your rights

You are entitled - at any time, free of charge - to take cognisance of your personal data and of the use that we make of these data or to request a copy thereof. You also have the right to ask for the rectification or (in some cases) removal of your data. In a number of cases listed in the GDPR, you may also ask to restrict the processing of your personal data. You have the right to oppose the processing of your personal data if you have serious and legitimate reasons for this which outweigh our need to process your data or to withdraw a consent that was given earlier. You also always have the right to oppose the use of personal data for purposes of direct marketing, without even having to give a reason for this. You have the right to request your personal data in digital and readable form and/or to have them transferred to other data controllers of another service provider of your choice.

Finally, you have the right to file a complaint with the Belgian Data Protection Authority if it appears that we did not, within 30 days, give appropriate follow-up to a request based on one of the above-mentioned rights:

How do we protect your personal data?

We have taken the appropriate security measures on the technical and organisational levels in order to guarantee the security of your personal data. 

For example, our servers and software tools are protected with a username and password, access restrictions apply, and we use encryption wherever possible. Furthermore, we offer data protection training courses to our personnel, we have internal guidelines on data security, and we take the appropriate security measures in the form of up-to-date antivirus and firewall security. 

Under no circumstances can UBA be held liable for any direct or indirect damage deriving from an erroneous or wrongful use of the personal data by a third party.

Our website uses cookies and similar technologies. This helps us to offer you a better user experience when you visit our website and also enables us to optimise our website. Without your prior consent, we only install cookies that are strictly necessary. For all other cookies, we first ask for your consent via our cookie banner. You can always manage your cookie preferences at the bottom of this page. Your cookie consent has a validity period of 12 months, after which we ask about your preferences once again.
